This policy explains what information we collect when you visit www.cnysound.com or book an event with us, how we use it, and the choices you have. When you fill out a contact or booking form, we collect your name, email address, phone number, event date and type, venue, and anything you include in your message.
When you book with us, we collect what we need to plan and perform your event: package and add-on selections, timelines, music preferences, questionnaire answers, guest details you choose to share, and your signature on our service agreement.
Payments are processed by Check Cherry Payments, the payment processor built into our booking platform. Card and bank details go directly to the processor; we never see or store your full card or account numbers. We keep records of invoices, booking fees, and payments made.
We keep copies of emails and text messages exchanged with you about your event.
We use Google Analytics to understand how visitors use our site. It collects device and usage data such as pages visited, browser type, and approximate location, using cookies.
We sometimes capture photos or video at events, including photo booth images when a booth service is part of your event.
We use your information to respond to inquiries, prepare proposals, plan and perform your event, process payments, send service messages about your booking, request feedback or reviews after your event, and improve our website and services. We do not sell your personal information, ever.
If you provide your phone number, we may text you about your booking: confirmations, reminders, planning questions, and follow-ups. Message frequency varies. Message and data rates may apply. Reply STOP at any time to stop receiving texts, or HELP for help. We do not send marketing texts unless you separately opt in.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third party, except with our text messaging service provider solely to deliver our messages to you.
We share information only with the service providers that run our business, and only what they need to do their jobs:
We may also share limited event details, like timelines and contact information, with your venue and other vendors (for example, your photographer) when needed to coordinate your event, and we will disclose information if required by law.
Our website and booking portal use cookies: essential cookies that keep the booking process working, and analytics cookies from Google Analytics. You can control cookies in your browser settings, and you can opt out of Google Analytics with Google's browser add-on.
Our service agreement includes a promotional use clause: we may use photos and video from your event in our portfolio, on our website, and on social media. The agreement also includes an opt-out. If you prefer that we not use media from your event, tell us in writing at any time and we will honor it going forward.
We keep booking and payment records as long as we need them for business, legal, and tax purposes. If you inquire but never book, we keep your inquiry so we can help if you come back, and we delete it on request.
Our services and website are intended for adults planning events. We do not knowingly collect personal information from children under 13.
We use reputable platforms, limit account access to the people who need it, and protect our systems with strong authentication. No online system is perfectly secure, but we take care with what you share with us.
If we change this policy, we will post the update on this page with a new effective date.
